Policy for Events in Conjunction with the ChIPs Global Summit (“ChIPs ICW Policy”)
 
ChIPs supports events hosted in conjunction with the Global Summit (“ICW Events”). To ensure ICW Events do not conflict with our planned programming or official sponsor events (i.e., after parties, yoga) we ask that organizations seeking to host an ICW Event during the Global Summit please notify us of their intent by Friday, July 26 via our ICW Summit Event Form.  A member of the ChIPs team will be in contact within 10 business days of submitting an ICW Event Form.
 
Due to scheduled ChIPs produced Summit programming and/or official Summit sponsored events, ChIP requests that organizations refrain from hosting ICW Events during the blackout dates and times below. Non observance of the ChIPs ICW Policy may result in a loss of sponsorship benefits.
 
Event blackout dates and times:
 
  • September 26 from 7:00 AM - 10:00 PM ET  
  • September 27 from 7:00 AM - 12:00 PM ET
 
ICW EVENT PROMOTION 
ChIPs Event Data Privacy Policy prohibits ChIPs from sharing or distributing registered Global Summit attendee contact information. At your request, ChIPs agrees to promote your ICW Event to all registered Global Summit attendees via our event management system.  Promotion of your ICW Event is contingent upon your use of our event email template and adherence to our content submission timeline.  One promotional email containing all ICW Events will be sent by ChIPs one month prior to the Global Summit. All ICW Event details must be finalized by Monday, August 19 in order for your event to be included in this promotional email notification.
 
CANCELLATIONS & CHANGES
Please keep us informed of a cancellation or ICW Event update such as location change by contacting globalsummit@chipsnetwork.org. In the event that an ICW Event is changed or cancelled after the promotional email is sent, the organization is responsible for notifying all registered attendees of any updates on own.
 
RESPONSIBILITY & LIABILITY
Please note that in the review and any subsequent approval of a request, ChIPs is not taking any responsibility or liability for the ICW Event. Your organization will be fully liable and responsible for all matters concerning your ICW Event, including but not limited to making all payments, having adequate insurance coverage, ensuring appropriate behavior from guests, and meeting contractual obligations.
